PERSONAL INFORMATION
Identrics is committed to the responsible handling and protection of personal information. Personal information means any information relating to an identified or identifiable natural person; an identifiable person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural, or social identity of that person.
We collect, use, and store personal information when needed to provide our Services and for our operational and business purposes as described in this Policy. We want to be clear about our privacy practices so that you can make informed choices about the use of your information, and we encourage you to contact us at any time with questions or concerns.
Identrics will never collect or process Personal Data pertaining to, directly or indirectly, race, health, sexual orientation, political, philosophical, or religious views.
THE TYPES OF PERSONAL INFORMATION WE COLLECT
We collect personal information from you, if you complete the "Contact us" and "Get access" forms placed on our web page. Should you do so, you will need to provide information such as your name and email address, which will then help us get back to you by email. Not all of the personal information Identrics holds about you will always come directly from you.
In addition, our servers, logs, and other technologies automatically collect certain information to help us administer, protect, and improve our Services; analyse usage; and improve users' experience. We do not share personal information gathered through our website ( www.identrics.ai) with others except as listed in "When we share personal information".
HOW WE USE PERSONAL INFORMATION
We process personal information for these Service- and business-related purposes:
Marketing and events: We use personal information to deliver marketing and event communications to you across various platforms, such as email, telephone, direct mail, and online. If we send you a marketing email, it will include instructions on how to opt out of receiving these emails in the future.
Surveys and polls: If you choose to participate in a survey or poll, any personal information you provide may be used for marketing or market research purposes after your explicit consent.
WHEN WE SHARE PERSONAL INFORMATION
Identrics shares or discloses personal information when necessary to provide Services or conduct our business operations as described below. When we share personal information, we do so in accordance with data privacy and security requirements. We may occasionally share non-personal, anonymized, and statistical data with third parties. Below are the parties with whom we may share personal information and why.
Within A Data Pro Group: Identrics is part of the A Data Pro Group, which consists of variety of teams and functions, and personal information will be made available to them if necessary for the provision of Services, sales and marketing, customer and technical support, and business and product development, for instance. All of our employees and contractors are required to follow our data privacy and security policies when handling personal information.
Third parties for legal reasons: We will share personal information when we believe it is required, such as:
- To comply with legal obligations and respond to requests from government agencies, including law enforcement and other public authorities, which may include such authorities outside your country of residence.
- In the event of a merger, sale, restructure, acquisition, joint venture, assignment, transfer, or other disposition of all or any portion of our business, assets, or stock (including in connection with any bankruptcy or similar proceedings).
- To protect our rights, users, systems, and Services.
OUR LAWFUL BASES FOR PROCESSING
Under the EU General Data Protection Regulation (GDPR) we process personal information only where we have a lawful basis to do so:
- Performance of a contract or steps prior to a contract (Art. 6(1)(b)): responding to demo requests, sales enquiries, and support messages you send us, and delivering Services to customers.
- Consent (Art. 6(1)(a)): non-essential cookies and similar technologies (analytics and marketing), our newsletter and other marketing emails, and any optional information you choose to share. You may withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
- Legitimate interests (Art. 6(1)(f)): securing our website and systems, preventing abuse and spam, keeping an internal record of enquiries so none are lost, and business-to-business relationship management. We balance these interests against your rights and you may object at any time.
- Legal obligation (Art. 6(1)(c)): accounting, tax, and responding to lawful requests from public authorities.
WHERE WE STORE AND PROCESS PERSONAL INFORMATION
Identrics is based in the European Union. Our own website database, in which we keep a record of every form submission made through this website (so that no enquiry is lost if a third-party system fails), is hosted in the European Union (Ireland). Personal information collected through the website is also stored in our Customer Relationship Management software (CRM).
INTERNATIONAL TRANSFERS
Some of the service providers we rely on to run this website are established in the United States, which means that certain personal information is transferred outside the European Economic Area. These providers are:
- HubSpot, Inc. (CRM and marketing automation) - receives the details you enter into our contact, demo request, and newsletter forms, together with the page you submitted them from.
- Google LLC (Google Analytics 4) - receives usage data such as a pseudonymous identifier, approximate location, and device information. Loaded only if you accept analytics cookies.
- LinkedIn Corporation (LinkedIn Insight Tag) - receives usage data and LinkedIn identifiers for campaign measurement. Loaded only if you accept marketing cookies.
These transfers are made on the basis of the European Commission's adequacy decision for the EU-US Data Protection Framework, to which each of these providers is certified, and, where required, on the basis of the European Commission's Standard Contractual Clauses together with supplementary safeguards. You can request a copy of the relevant safeguards by contacting us at privacy@identrics.ai.
HOW WE SECURE PERSONAL INFORMATION
Identrics takes data security seriously, and we use appropriate technologies and procedures to protect personal information. Our information security policies and procedures are closely aligned with widely accepted international standards and are reviewed regularly and updated as necessary to meet our business needs, changes in technology, and regulatory requirements. For example:
POLICIES AND PROCEDURES
- We have measures in place to protect against accidental loss and unauthorized access, use, destruction, or disclosure of data.
- We place appropriate restrictions on access to personal information to a selected number of people in the organisation in our CRM system.
- We implement appropriate measures and controls, including monitoring and physical measures, to store and transfer data securely.
Training for employees and contractors
- We require privacy, information security, and other applicable training on a regular basis for our employees and contractors who have access to personal information and other sensitive data.
- We take steps to ensure that our employees and contractors operate in accordance with our information security policies and procedures and any applicable contractual conditions.
HOW LONG WE KEEP PERSONAL INFORMATION
We retain personal information for as long as we reasonably require it for legal or business purposes. In determining data retention periods, Identrics takes into consideration local laws, contractual obligations, and the expectations and requirements of our customers. When we no longer need personal information, we securely delete or destroy it. In particular:
- Website form submissions kept in our own backup record are deleted after 24 months, unless they have become part of an active customer or supplier relationship.
- Newsletter subscriptions are kept until you unsubscribe, plus a short suppression record so we do not contact you again.
- Analytics data is retained by Google Analytics for a maximum of 14 months.
- Cookie consent records are stored in your browser for a maximum of 12 months, after which we ask you again.
YOUR RIGHTS OVER YOUR PERSONAL INFORMATION
We respect your right to access and control your information, and we will respond to requests for information and, where applicable, will correct, amend, or delete your personal information. Where the GDPR applies, you have the following rights:
Access to personal information: If you request access to your personal information, we will gladly comply, subject to any relevant legal requirements and exemptions, including identity verification procedures.
Correction and deletion: You have the right to correct or amend your personal information if it is inaccurate or requires updating. You may also have the right to request deletion of your personal information; however, this is not always possible due to legal requirements and other obligations and factors.
Restriction and objection: You may ask us to restrict processing of your personal information, and you may object at any time to processing based on our legitimate interests, including profiling for marketing purposes.
Data portability: Where processing is based on your consent or on a contract and is carried out by automated means, you may request a copy of the personal information you provided to us in a structured, commonly used, machine-readable format, or ask us to transmit it to another controller.
Withdrawing consent: Where we rely on your consent, you may withdraw it at any time. You can change your cookie choices through the "Cookie settings" link in the footer of every page, and you can unsubscribe from marketing emails using the link in each email. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.
Marketing preferences: To opt out of email marketing, you can use the unsubscribe link found in the email communication you receive from us or visit the applicable email preference centre. For other marketing preferences, you can use the "Contact Us" option within our webpage.
Filing a complaint: If you are not satisfied with how Identrics manages your personal data, you have the right to make a complaint to a data protection regulator. In Bulgaria, where Identrics is established, this is the Commission for Personal Data Protection (CPDP). Google Analytics 4: These cookies are set up by www.identrics.ai to analyse the platform's audience and marketing performance indicators. They are attributed to each visitor of a webpage, so a visitor is given the same login at each visit and is counted only once. Google Analytics 4 is loaded only after analytics consent is granted.
HubSpot: These cookies are set by HubSpot to help us manage marketing communications, track user interactions, and personalise content. HubSpot is loaded only after marketing consent is granted.
LinkedIn Insight Tag: These cookies are set by LinkedIn to help us track conversions, retarget website visitors, and measure the performance of LinkedIn advertising. The LinkedIn Insight Tag is loaded only after marketing consent is granted. We do not have control over how LinkedIn processes this information; we invite you to review LinkedIn's privacy policy.
Turning Cookies Off: You can usually switch cookies off by adjusting your browser settings to stop it from accepting cookies. Doing so however will likely limit the functionality of our's and a large proportion of the world's websites as cookies are a standard part of most modern websites.
We use cookies to make our website work including: Allowing you to add comments to our blog and submitting a completed "Contact us" form on our site. There is no way to prevent these cookies being set other than to not use our site.
